When you might need a farewell speech

Leaving a job often comes with some form of send off. This might be a quick gathering in the office, a lunch out with your team, or for longer serving staff, a more formal event. Colleagues may present you with a card or gift, and depending on your workplace, there could be an expectation that you say a few words in response.

Not every departure calls for a speech. If you have only been with the company for a short time, or if your workplace culture is fairly informal, a simple thank you may be all that is needed. In larger corporate settings, farewells can be less personalised, and a brief acknowledgement might be more appropriate than a prepared speech. But if you have spent several years somewhere, or hold a senior position, people will often expect you to mark the occasion with something a bit more substantial.

It is worth thinking about what you might say in advance, even if you are not certain there will be a formal moment for it. Having a rough idea prepared means you will not be caught off guard if someone hands you a gift and the room falls silent, waiting for you to respond.

What to include in your speech

The content of your farewell speech will depend on several things: how long you have worked at the company, your relationship with colleagues, and the general tone of your workplace. A speech at a relaxed startup will sound different from one delivered at a traditional financial services firm.

That said, most farewell speeches cover similar ground. Here are the main elements to consider:

  • A brief summary of your time at the company
  • Acknowledgement of people who have helped or supported you
  • A positive comment about the company, team, or work itself
  • A word about what comes next, if you are comfortable sharing
  • A closing thank you

You do not need to cover all of these points in detail. A short speech of two or three minutes is usually plenty, though some workplace traditions may invite something longer and more prepared. People are often standing, possibly holding drinks, and will generally appreciate you keeping things reasonably brief.

If you have been with the organisation for a long time, you might want to mention a few highlights or changes you have witnessed. This can be interesting for newer colleagues who may not know much about the company's history. Keep this part light and avoid turning it into a long list of every role you have held or project you have worked on.

When thanking individuals, it is usually best to mention a small number of people by name rather than attempting to list everyone. If you try to name too many people, you risk forgetting someone and causing offence. A general thank you to the wider team, with a few specific mentions, tends to work well.

Tone and delivery

The most effective farewell speeches tend to be warm but measured. You are not accepting an award, and you are not giving a eulogy. Aim for something that feels genuine without being overly emotional or excessively jokey.

Humour can work well in some settings, but it depends on your personality, your audience, and your workplace culture. In more conservative or hierarchical organisations, a straightforward and sincere approach may land better than attempts at comedy. A light, self deprecating comment often works in informal environments, but if humour does not come naturally to you, do not force it. A sincere speech is perfectly acceptable.

Avoid airing grievances or making pointed comments about colleagues, management, or company decisions. Even if your departure is not entirely on good terms, a farewell gathering is not the place to settle scores. You may need references from these people in future, and professional networks can be smaller than you expect.

If you are feeling nervous, remember that your audience is on your side. They have come to wish you well, not to judge your public speaking ability. Speaking slowly, making eye contact with a few friendly faces, and keeping your notes simple can all help.

On the subject of notes: there is nothing wrong with having a few written prompts to refer to. A small card with three or four bullet points is usually enough to keep you on track without making you sound as though you are reading a script. Avoid holding several sheets of paper, as this can look overly formal and may make your hands shake visibly if you are nervous.

Before your last day, it may be worth checking with your manager or HR team whether any kind of send off is planned. This can help you prepare appropriately. If you are organising your own leaving drinks, as is common in some workplaces, you will have more control over the format. You might choose to say a few words at a natural pause in the evening, or simply thank people individually as they arrive.

Consider the timing of your speech. If the gathering is during work hours, people may need to return to their desks, so keeping things short is considerate. If it is an evening event, you have a bit more flexibility, though brevity is still appreciated.

It is also worth thinking about who will be present. If the event includes clients, external partners, or senior leaders you do not know well, you might consider keeping your speech more formal and avoiding inside jokes that could exclude some of your audience.

For those working remotely or in hybrid arrangements, farewells may take place over video call. In these situations, the same principles apply, but you may need to adjust your delivery. Speak clearly, look at the camera when you can, and keep things a little shorter than you would in person. It can be harder to read the room on a screen, so aiming for warmth and brevity tends to work well. If your team is spread across locations, a video farewell may be the only practical option, and there is no reason it cannot be just as meaningful.

A simple structure to follow

If you are looking for a straightforward framework, the following structure can work for most situations:

  • Open with a thank you for the send off and any gifts or cards
  • Mention how long you have been with the company and perhaps one or two memories or highlights
  • Thank specific people who have been particularly supportive or influential
  • Offer a general thank you to the wider team or department
  • Briefly mention your next steps, if you wish to share them
  • Close with a final thank you and good wishes for the team's future

This can be expanded or condensed depending on the occasion. For a quick Friday afternoon gathering, two or three of these points may be enough. For a retirement dinner after thirty years of service, you might want to add more detail and personal reflection.

Whatever structure you choose, ending on a positive note tends to leave the best impression. A simple statement of gratitude, followed by good wishes for your colleagues, rounds things off neatly.

Finally, once you have said your piece, it is usually fine to step back and let the conversation resume naturally. There is no need for a dramatic exit or to wait for applause. A smile and a move towards the drinks table or your colleagues can be a relaxed way to conclude, letting the event carry on without awkwardness.

You should never use a farewell speech to score points against other people, or the company! It's in terrible taste and makes people glad you've left, which isn't the impression you want. Nor should your speech last more than three minutes. You can say what you want in that time and you'll end before people become bored and start glancing at their watches, which is how it should be with any speech.
